As a Management Assistant, you support and assist various managers with secretarial and administrative tasks. You are the first point of contact for employees of Wageningen Bioveterinary Research (WBVR) in Lelystad and their external contacts. Your tasks and responsibilities include, among others:

  • Managing calendars, including planning and, if necessary, taking minutes during numerous meetings and discussions in an accurate, thorough, and proactive manner;
  • Ensuring the proper flow of all important information; providing others with relevant information upon request and on your own initiative;
  • Entering orders into the purchasing system, approving and processing invoices for payment, and digital archiving;
  • Organizing the quotation process; assisting colleagues in preparing quotations (both in Dutch and English) and managing the correct routing. Facilitating legal queries and procedural steps;
  • Handling (digital) mail, archiving, and managing relevant documents appropriately;
  • Preparing meetings;
  • Performing general tasks such as answering phones, providing information, welcoming guests, and arranging catering and other facilities;
  • Preparing or handling HR system updates, such as submitting or processing leave, sick leave, and recovery reports, as directed by supervisors;
  • Reviewing outgoing correspondence and reports (checking for language errors, layout, and adherence to style guidelines).

Our Team:
Our team of management assistants consists of seven colleagues. We cover for each other during absences.

Your qualities

You are naturally curious and seek to understand the reasons behind questions or assignments.

Additionally, you possess:

  • A minimum of MBO-4 level education (secretarial field) and preferably HBO-level thinking skills;
  • Proven, extensive experience as a management assistant (experience working for multiple managers simultaneously is a plus);
  • Exceptional organizational skills, reflected in excellent planning, structured work habits, and adherence to procedures;
  • Clear communication skills and the ability to promote and enforce agreements effectively;
  • A commercial mindset with a customer- and service-oriented approach, where commitment is upheld;
  • The ability to work independently while also fostering collaboration and alignment with others;
  • Excellent command of the Dutch language and a good command of English, both spoken and written;
  • Proficiency in MS Office;
  • Affinity for and skills with various ICT systems.

In addition to these first-rate employee benefits, you will of course receive a good salary. We offer, depending on your experience, a competitive gross salary of maximum €3.551,- for a full-time working week of 36 hours, in accordance with the CLA Wageningen Research (scale 6/7).

It is a highly varied position for 32–36 hours per week (preferably spread over 5 days). As for your contract, we initially offer a one-year contract that can be extended - if possible within (company) organizational circumstances - on good performance.
